Job Description:
- Ensures clarity around priorities and goals for the entire functional area
- Provide guidance and instructions within the department and outside departments as needed
- Work across functions with peers in other departments to ensure collaboration for shared goals
- Comprehensive management of subordinates
- Achieve departmental operational goals by contributing insights and recommendations to administrative plans and reviews; developing and executing process improvement initiatives; enhancing office and facility operations; resolving administrative and operational issues; conducting internal reviews; identifying inefficiencies; recommending system improvements; and implementing organizational changes as needed.
- Interact with executives and relevant stakeholders to support workplace and facility improvement initiatives.
- Provide regular and timely reporting, communication, and consultation to the direct supervisor.
- Manage day-to-day office operations including procurement and inventory control of office supplies, replacement of consumables, coordination of maintenance services, and handling of facility issues or repairs.
- Oversee vendor relationships by coordinating services, managing communication, reviewing invoices, and processing payments in a timely manner.
- Manage company-owned vehicles, including purchase planning, registration, insurance coordination, maintenance scheduling, and replacement/renewal processes.
- Provide operational and administrative support for in-house chef related activities.
- Coordinate business card orders for employees and maintain accurate records for issuance and updates.
- Manage corporate insurance policies, including renewal, documentation, and coordination with brokers.
- Manage corporate registration requirements including preparation and filing of annual reports, business licenses, and other state or local compliance documents to ensure timely and accurate submissions.
- Other duties as assigned by management.
Job Requirements:
- 3 – 5 years of executive assistant or administrative experience
- College Degree preferred
- English and Japanese language skills required (Read/Write/Speak/Listen)
