Job Description:
- Documentation Management: Handle, review, and process import/export documents (e.g., ISFs, BLs, invoices, entry summaries, arrival notices). Ensure accuracy and compliance with corporate policies and regulations. Create documents such as delivery orders, arrival notices, and truck BLs.
- Shipment Coordination: Track shipments, communicate updates to clients and vendors, and ensure cargo pick-ups and deliveries meet schedules. Book truckers to meet delivery dates.
- Regulatory Compliance: Gather necessary details for ISF and CF7512 filings, file them accurately and on time, and follow through until completion.
- Export Operations: Arrange freight pick-ups, book space with carriers, obtain export documents, generate BLs/HAWBs, file AES, confirm on-board or FOB status, send pre-alerts, and follow up until shipment departure.
- Billing and Quotations: Create invoices, billing packets, and cost quotations for carriers, customers, and affiliates. Ensure timely distribution of billing information.
- Customer Service: Communicate shipment progress, address issues like OS&D, and resolve problems in collaboration with management.
- Organization and Reporting: Maintain shipment records, organize billing packets, support other branches, and create requested reports.
- General Support: Assist with special projects, participate in meetings, and visit clients as directed by management.
